Junior Legal Assistant / Office Manager Position Mid-Town Toronto

We are a growth-focused boutique non-litigation law firm of two lawyers plus staff located in mid-town Toronto. Our primary practice areas are Real Estate Law, Corporate/Commercial Law and Wills and Estates Law. We are looking for an individual to provide legal assistant work and manage our office, so that the lawyers can focus on providing outstanding legal services and grow the firm. The ideal candidate should be someone who has the requisite skills and experience, demonstrates strong leadership skills and is looking to grow with us over the long-term.

Primary ‘A’ Role – Legal Assistant

  1. Assist on real estate / corporate / and wills & estates matters for two lawyers
  2. Draft letters, documents and emails
  3. Make phone calls with clients, as needed
  4. Manage PCLaw usage and make sure we have proper entries
  5. Manage trust/general receipts, cheques and wires
  6. Assist with PCLaw (and Lean Law) entries as needed, billing clients and collecting payments
  7.  Interface with firm’s external accountant to make sure our accounting is up-to-date, and that CRA requirements (ie. payroll remittances, HST filings etc.) are dealt with properly

Primary ‘B’ Role – Office Manager and Reception

  1. Manage office needs – ie. make sure we have supplies and keep office organized / presentable
  2. Manage office policies (make sure we have proper policies/documentation in place for office practices – eg. how to bill, how to docket, how to store files, etc.)
  3. Track our files and make sure lawyers are docketing (eg. important dates, make sure invoices have been sent out)
  4. Manage office resources (eg. scheduling meetings, booking the conference room etc.)
  5. Receptionist duties (initially, until replacement found) – including greeting clients and screening phone calls

Experience/Skills Required:

  1. Legal Assistant or Paralegal Diploma from a reputable college
  2. MUST have knowledge of PCLaw software, ideally with some practical experience
  3. Ideally, some knowledge of Lean Law software
  4. Understands how to do basic corporate, real estate and wills/estate legal assistant work, such as purchase/sale deals, incorporating companies, probate and drafting of wills
  5. Experience working at a corporate, real estate and/or wills and estates law firm is strongly preferred
  6. Must be detail-oriented, very organized, a self-starter, and have leadership/management skills
  7. Strong experience with computer usage and office software – such as Conveyancer, Lawyer Done Deal, MS Windows, MS Office (Word, Excel and PowerPoint are the main software tools) and Internet research
  8. Strong command of the English language, both in speaking and writing
  9. Strong command of basic math (arithmetic)
